Where small and medium businesses get the fastest payback from AI automation, and what to check before you start.
By Michael PresecanAIgenica
Not every process is a good first automation. The best candidates are frequent, rule-based and annoying: work your team does every day, the same way, and would gladly hand over. Here are the five we see pay back fastest.
1. The shared inbox
Someone reads every email, decides who should handle it, forwards it and often types the same reply again. An agent can classify each message by your categories, route it with a summary, answer the routine ones from approved templates and extract details into your CRM.
Check first: how many emails a day, and how many fall into five or six recurring types.
2. Booking and appointment requests
Requests arrive by phone, email, website and WhatsApp, at any hour. Copying them into a calendar is pure busywork, and requests outside opening hours get lost. Automated intake collects what your team needs, checks availability and confirms.
Check first: whether your booking tool has an API, or a web interface a browser agent can use.
3. Data entry between systems
Orders, invoices and forms arrive in one place and must end up in two or three others. Reading documents, validating them against your rules and entering them is exactly the kind of work automation does reliably, with every entry linked to its source.
Check first: where the data comes from and what "correct" means. Validation rules matter more than the AI.
4. Chasing and follow-ups
Missing documents, unpaid invoices, unanswered quotes. Follow-ups depend on someone remembering, and in busy weeks nobody does. Automated reminders run on time, in your tone, and escalate by your rules.
Check first: your current reminder policy. If there is none, write it down first; that alone helps.
5. Internal "how do I…" questions
New colleagues interrupt seniors to ask where things are and how they are done. A private assistant that answers from your procedures, with a link to the source, saves senior time and speeds up onboarding.
Check first: whether your procedures are written down. If not, start with process discovery.
How to choose
Estimate hours per week, people involved and how rule-based the work is. Our agent walks you through these questions in a few minutes and turns your answers into a first proposal.
